Full-Time Legal Department Assistant – Legal Services Department

We have an opportunity for a permanent, full-time Legal Department Assistant in the Legal Services Department reporting to the Director, Legal Services.

Key responsibilities include:

  • Assisting the lawyers prepare legal documents and correspondence
  • Providing word processing assistance to the legal department including formatting documents, processing revisions
  • Provide administrative support to the lawyers in the department including filing, scheduling meetings, managing appointments, registration of memberships and conferences
  • Communicating with company personnel and external counsel
  • Maintaining the filing system for the legal department including opening files, ongoing filing, organizing files, closing files and digitizing files
  • Manging the day-to-day operation of the document managing system including opening electronic files
  • Conduct BC Online searches
  • Working with the Airport’s legal team made up of other legal counsel, paralegals and clerks on team initiatives

Key qualifications include:

  • Minimum 3+ years of relevant experience as legal assistant or administrative assistant at a law firm or in-house legal department, supplemented by a high school diploma; or an equivalent combination of training and experience
  • Proficient in Microsoft Office Suite including Word and Outlook, Adobe Acrobat
  • Experience with word processing of documents is an asset
  • Experience with a law firm document management system is an asset
  • Excellent attention to detail
  • Excellent organizational skills with the ability to meet deadlines and manage a variety of projects simultaneously
  • Excellent written and verbal communication skills
  • Ability to work independently with a high degree of initiative
  • Ability to exercise discretion when dealing with sensitive, highly confidential matters
  • Positive attitude and the desire to join a close-knit and supportive team
